Tribal wins five-year SaaS Student Management System contract with New Zealand higher education institution

Te Whare Wānanga o Awanuiārangi will deploy Tribal to improve the student experience, from survey and enrollment to graduation and alumni.

Tribal Group, a leading provider of software and services in the international education market, announced that it was awarded a five-year SaaS contract to replace the student management system of Te Whare Wānanga o Awanuiārangi .

Te Whare Wānanga o Awanuiārangi is a public higher education institution based in Whakatane which provides education in a Maori cultural context to 6,000 students. The vision of the organization is to pursue knowledge in the greatest depths and its widest horizons, and to empower the descendants of Awanuiārangi and all Maori to claim and develop their cultural heritage.

Tribal Group won the contract following an extensive procurement process in which the organization concluded that the Tribal Student Management System (SMS) was best suited to the educator’s requirements for a system of student management.

These included the need to:

  • Improve the student experience from application, application and enrollment through graduation and alumni
  • Improve service delivery by managing quality, reducing risk and reducing turnaround times
  • Create efficiencies for the organization by improving reporting and lines of communication and reducing the time and costs caused by workarounds
  • Improve staff accessibility to student information to enable better results and program management, auditability and transparency
  • Integrate schedules, lists and attendance marking to allow better management of these areas

Wiremu Doherty, CEO of Awanuiārangi, said, “Our current SMIS has leveled off in its ability to meet the needs of our staff and students. We sought an alternative system that would improve the student experience from first application to graduation, increase our accessibility to information, and allow us to better manage our programs.

“We selected Tribal because they met our business needs in a forward-thinking manner.

“Their product offers powerful workflows, reporting solutions, integrated schedules and various portals for stakeholders.

“In addition, Awanuiārangi looks forward to implementing a system focused on providing excellent student experience and improving operational efficiency. “

The basic Student Management System (SMS) will be based on Tribal’s ebs, hosted in the Tribal Cloud. It will also include the ebs: intel extension for business intelligence reporting, provided through third-party partner Panintelligence.

Along with ebs will be Tribal’s marketing and student recruitment, event management and alumni management solutions. These CRM solutions are specifically tailored to the needs of the education sector and built on the Microsoft Power platform. Delivered in the cloud and specially designed for the education industry, they extend ebs’ ability to build and maintain a full 360 degree view of the student, from initial request to alumni management.

Awanuiārangi will also adopt Tribal’s Student Engage mobile app as a private social network to connect the entire Wānanga community. It will engage students, staff, departments and businesses and provide students with a secure collaborative space to learn and support each other.

This latest contract won by Tribal Group adds to the organization’s growing number of student management solutions clients in the New Zealand higher education sector and will be the ninth client to implement ebs in two years. .

Steve Exley, Managing Director of Tribal – New Zealand, said: “We are delighted that Te Whare Wānanga o Awanuiārangi has chosen to adopt a full suite of tribal solutions to manage the student journey. It is a significant victory for Tribal to be the first client in New Zealand to adopt our marketing and student recruitment, event management and alumni management solutions as well as the Student Engage app. We are excited to make the trip with Awanuiārangi and look forward to continuing the relationship and starting the implementation. “

The project started in early March with initiation and discovery workshops underway. Te Whare Wānanga o Awanuiārangi plans to launch the first phase of implementation in June 2022.

We asked Wiremu Doherty, CEO of Awanuiārangi, further questions about the implementation.

Why did you decide that the Tribal Student Management System was the best fit for your needs?

We selected Tribal because they met our business needs in a forward-thinking manner while taking into account our programs and communities across Aotearoa. Their product offers powerful workflows, reporting solutions, integrated schedules and various stakeholder portals.

How will the deployment allow you to improve the student experience?

The Tribal product offers a student portal where tauira (students) can track their studies with Te Whare Wānanga o Awanuiārangi, including their enrollments, finances, results, schedules and attendance, all in one place.

What will be the main benefits of improving reporting capabilities?

We have a lot of information that would be more useful if the datasets could be combined. We therefore hope that the new reporting system will provide contextualized information in a visual format. The reporting solution also offers a useful data mining tool to extract data from the system for operational purposes.

What will be the major benefits of deployment for your staff?

The ability to have different entry points for different types of users is a major advantage. This allows light users, such as lecturers, to enter through the staff portal, while administrative users have a view of the database through another interface.

Staff will be able to receive a personalized view of information relevant to them, such as links to their schedules, students, and the courses they teach.

How important is it to getting a full 360-degree view of the student, from initial investigation to alumni management?

Having an end-to-end point of view helps us meet the needs of our tauira more effectively. Many of our tauira come back to us for further study and we want to support them throughout their tauira journey.

What are the advantages of your new system over your old one?

The Tribal system offers powerful workflows, extensive reporting solutions, integrated schedules, and various stakeholder portals, which we currently do not have.

Why did you choose to work with Tribal?

The Tribal product has satisfied our business needs and closely aligns with the values of wānanga. They also offer extensive experience in implementing the system in the New Zealand higher education environment.
